The Travocity site is proprietarily managed by Travocity (“Travocity”, “we”, “us”, “our”), a business with its registered base located at 14 Hartland Road London United Kingdom E15 4AR(registration number 17271862. 
Travocity adheres to the EU Package Travel Directive. All payments for services covered by this EU legislation are protected by insurance that ensures a refund in the rare case of insolvency.

These booking terms apply to all transactions made through Travocitys.com regardless of whether they are handled by our offices in London , USA or Singapore. Any reservation made or order placed by a client, whether on the company’s website or through other methods, constitutes a proposal by the client to buy the respective package or travel service, subject to these booking terms.

By making a reservation, you guarantee and affirm to us your adherence to these terms. No agreement between the customer and Travocity will be established until Travocity obtains the necessary deposit and sends a confirmation invoice. The individual making the reservation agrees to these terms on behalf of all members of their travel group and is accountable for the total payment from the group.

Booking services with Travocity are exclusively for individuals who are at least 18 years of age. Moreover, anyone under 18 participating in a Travocity tour must be accompanied by an adult.

Our company is fully authorized by the authorities of the nations where we maintain local offices. 
Travocity complies with the EU General Data Protection Regulation (GDPR), which is a regulation addressing data protection and privacy rights for consumers within the EU.

Validity of Prices

All prices provided or displayed in our pricing schedules rely on existing rates and may be altered on our site without prior notice. Once the final invoice is generated, the cost of your reservation is secured against additional charges, except when these arise from a rise in fuel prices and other energy costs, taxes and fees imposed by the government, or currency variations pertinent to your reservation. Travocity will make every effort to ensure that the amount you pay does not exceed what is indicated on your final invoice.

Price increase policy: In the unlikely situation where any advertised rates need to be raised for the aforementioned reasons, Travocity will inform you at least 30 days in advance if the price of your reservation is impacted. In that instance, Travocity will cover a sum equal to 4% of the remaining package cost, excluding the deposit already paid. Any charges beyond this 4% will be applicable. Should the extra charges surpass 8% of the overall price, you will have the option to cancel your reservation and receive a full refund. If you decide to cancel for this reason, it must be done within 14 days of the new invoice’s issue date.

Price decrease policy: If the cost of your reservation decreases due to the same reasons as previously mentioned by over 4% of the total price, you will be reimbursed any amount owed. Any administrative fees incurred will be subtracted from the refund. However, travel bookings may not always be made in the local currency, and certain evident changes may not affect the price of your travel due to existing contractual or other protective measures.

No adjustments will be made to the price of confirmed reservations within 30 days prior to departure, and no refunds will be issued during this timeframe.

Price errors policy: We strive for accuracy in all details and prices listed on our website. However, occasional mistakes or changes may happen. When such discrepancies arise, we will do our best to inform you at the time of booking or as soon as we become aware of the error. We maintain the right to cancel, modify, or restrict the order made at the incorrect price. It is your responsibility to verify the current price and all other information related to your desired arrangements before confirming your booking.

Changes to bookings

How to modify a reservation: Any request to modify a reservation must be sent via email by the individual who made the initial reservation request. We will endeavor to accommodate the requested changes, although it may not always be feasible. All alterations depend on availability.

Policies on administration fees: Depending on how early a tour package is secured and when a modification request is made, an administration fee may apply. This fee is 35 GBP for the UK office, or 40 USD for offices in USA and 55 SGD for Singapore Office. This fee may be billed to the original payment method for each day or night of the itinerary that is altered.

Travocity might waive the administration fee if changes are requested within 30 days following the booking date. However, additional costs from suppliers may still be applicable based on the modifications. For bookings made less than 60 days before arrival, changes can be made without incurring this fee until the services are confirmed, and travel documents are issued.

Nonetheless, if the booking was made 30 days or fewer before arrival, an administrative charge along with any relevant supplier fees could be assessed due to the limited processing period.

Transferring bookings: A reservation can be reassigned to another individual, given that the new party meets all requirements, agrees to the booking’s terms and conditions, and informs us of the transfer at least 7 days before departure. A transfer fee will be charged. Both parties involved share responsibility for this fee as well as any additional costs resulting from changes to the reservation.

Services that cannot be transferred: Be aware that some services may not be modified or transferred once confirmed, and making alterations could result in cancellation penalties of up to 100% of that service component. We maintain the right to adjust the aforementioned administration fees at any point.

Changes to bookings by us: There are occasions when Travocity may need to alter your booking, and we retain the right to do so whenever necessary. In such rare cases, we will promptly inform you of any proposed changes. If the changes are substantial, such as significant modifications to the tour or a price increase of more than 8% of the total amount, you will have the choice to:

a. accept the changes,
b. opt for an alternative tour (if available and offered by us), or
c. request a refund.
You will have 14 days to respond to the changes presented. Please ensure you read any notification of changes thoroughly. If you fail to reply within the specified period, your booking may be canceled.

If you choose an alternative tour (option b mentioned above) at a lower price, we will refund you the difference in cost.
If you decide not to accept the modifications, you have the option to cancel your tour and receive a complete refund (refer to option c mentioned above). However, if the alterations were due to unavoidable or exceptional circumstances, there will be no additional compensation available to you.

Invoice delivery

All invoices and travel papers are delivered to clients electronically as PDF files incorporated in an email.

Included physical copies: Upon reaching Reykjavík (Iceland), Stockholm (Sweden), Edinburgh (Scotland), Dublin (Ireland), Zurich (Switzerland), Munich (Germany), or Rome (Italy), you may receive physical copies of your travel papers upon your arrival. These can be given to you by the driver of your airport transfer (if it is part of your package) or available at the hotel. To find out whether a hard copy is included, please check the list of “included” services in your tour itinerary.

Physical copies available upon request: It is also possible to request that the documents be sent to you via first-class mail. This service incurs a small extra charge. In line with postal regulations, documents must be dispatched to the billing address of the credit card holder, and cannot be sent to the address(es) of the travelers unless they are the same.

Please be aware that Travocity will not be liable for documents that are lost or misplaced by postal services. Therefore, we advise that all documents be sent to you using Registered Post or Courier Service to your home address, although this does come with an additional fee.

Passports and Visa’s

It is your duty to ensure that you meet your visa, health, and other immigration obligations, so be sure to verify these details with the appropriate embassies or consulates. We can only offer general guidance on these issues. Visa regulations may vary, and it’s essential that you verify the most current information well ahead of your travel date. We cannot be held liable if you are denied entry to a nation due to missing the necessary passport, visa, or other travel documents.

Needed – credit card for independent driving trips: A valid credit card is necessary for all of our self-drive trips to secure the car rental deposit, which is also referred to as the deductible.

Liability

Travocity does not accept responsibility for any loss, damage, accidents, injuries, illnesses, or changes in schedules caused by weather, strikes, natural disasters, or any other factors that are outside of Travocity influence. Travocity operates with good intentions and cannot be held liable for the actions, failures, or delays of any agents, hotels, coach operators, airlines, guides, restaurants, or any other individuals or companies.

Travocity has the authority to modify routes, itineraries, or departure times without prior notification if necessary. In the event of any flight alterations (both domestic and international) or changes to travel arrangements via cruise, ferry, bus, or train, passengers are responsible for any extra expenses that may arise from these changes, such as additional hotel nights, meals, transfers, and so on.

We highly encourage all clients to obtain comprehensive travel insurance to cover all potential situations.

Our objective is to deliver outstanding customer service. To achieve this, we implement rigorous quality monitoring. If you are dissatisfied with your tour package for any reason, we would like to know immediately. We suggest contacting our office or emergency helpline at the earliest opportunity if an issue arises during your trip. If you are unable to reach out at that moment, you are required to inform Travocity in writing within 30 days after your return; otherwise, you may lose your entitlement to compensation.

Should you require information on health services or other public agencies, need to communicate from a distance, or seek assistance in finding alternative travel options, we will respond with appropriate help as quickly as we can. We reserve the right to impose a fee equivalent to the costs we incur for assistance if the issue requiring our help arises from intentional actions or negligence. All details on Travocity website are subject to modification. Travocity retains the right to amend any errors that may occur on the website or in published price lists.
